Then the quote came back: Marketing Hub Professional, plus seats for her two techs and her office manager, plus a mandatory onboarding fee before she could log in and do anything. Somewhere north of $1,000 a month before she had captured a single lead.

Her actual problem took about ninety seconds to describe. Leads came in from Google and Facebook, sat in her inbox, and got called back the next afternoon if somebody remembered. That's it. That was the whole problem. She did not need predictive lead scoring or multi-touch revenue attribution. She needed the phone to ring back in five minutes.

GoHighLevel: one flat bill, and follow-up that actually fires

The reason we build on GoHighLevel is not that it's cheap. It's that the pieces are in the same box. Pricing is flat and public. Starter is $97/month for one business, Unlimited is $297/month, and Agency Pro is $497/month if you're reselling under your own brand. Add usage costs for SMS, calls, email sends, and AI features, commonly $10 to $150 a month depending on volume. Users are unlimited on every plan, which is the line item that quietly matters most. Hiring your fifth employee doesn't change your bill.

For healthcare practices, HighLevel sells an account-wide HIPAA add-on at about $297/month that signs a BAA and turns on ePHI encryption, audit logging, and enforced multi-factor login. Two honest notes: it applies to the whole account, not one sub-account, and once you enable it you can't turn it off. We'd rather you hear that from us than find out in month three. Where it's genuinely weaker: email deliverability out of the box is mediocre if you skip the dedicated domain setup, and plenty of people skip it, then blame the platform. Support response times are inconsistent. Reporting is fine for "which campaign is working" and thin if you want cohort analysis. And there's a real learning curve. The platform gives you a thousand levers and no opinion about which ones to pull, which is exactly why half-finished HighLevel accounts are the most common thing we get hired to fix.

HubSpot: the polished CRM, priced for a bigger company

We want to be fair here, because HubSpot earns its reputation. It's the most polished CRM most people will ever touch. Onboarding a new hire takes an afternoon. The data model handles custom objects and typed relationships properly, so if your business is structured as anything more complicated than "contact, deal, done," HubSpot can model it. Reporting is excellent: real attribution, deal forecasting, dashboards you don't need a consultant to build. The app marketplace connects to nearly everything, and the free CRM is genuinely free for unlimited users with up to a million contacts.

The math is where it turns. Free and Starter are inexpensive, but automation, the thing you're actually buying a CRM for, lives on Professional.

Marketing Hub Professional runs $890/month including three seats and 2,000 marketing contacts. The Professional Customer Platform is $1,300/month with five seats. Enterprise starts at $3,600/month for Marketing Hub and $4,300/month for the full platform.

Professional and Enterprise also carry a mandatory onboarding fee, roughly $1,500 to $3,000 on Pro and around $7,000 on Enterprise, unless a solutions partner waives it. Then the extras: $50/month per additional 1,000 marketing contacts, $300/month for a dedicated IP, $200/month for the reporting add-on.

Healthcare makes it steeper. HubSpot will sign a BAA, but HIPAA support lives on Enterprise with the Healthcare Hub add-on and sensitive-data settings configured correctly. Standard Marketing, Sales, Service, and CMS plans cannot legally hold PHI. For a three-chair med spa, that's not a pricing tier, it's a different universe.

And for a service business specifically, there's a gap no budget fixes: two-way texting isn't native. You'll add a third-party SMS app, wire it up, and pay for it separately. For a business whose entire conversion problem is "text them back before the competitor does," that's the wrong shape of tool.

Pros: Best-in-class usability and reporting; genuinely free entry tier; deep, flexible data model with custom objects; enormous integration marketplace; strong support and training.

Cons: Per-seat pricing punishes growing teams; automation is gated behind a steep price jump; mandatory onboarding fees; no native SMS or calling; HIPAA only on Enterprise.

The cost math, side by side

Take that four-person home services company. Here's the honest annual comparison, list price, no discounts:

Who should pick which
